EA to the CEO

Job Summary

To provide full office administrative duties to the team and diary management to the CEO, to liaise with various departments to ensure the efficient running of Q including the property management division too.

Duties & Responsibilities

• Diary management using outlook
• Excellent inbox management and prioritisation
• Proactively identify any changes needed in CEO’s diary
• Ensure all bookings in the diary are accurate and up to date
• Resilient to last minute changes and react accordingly
• Always being ahead/proactive
• Building up of database
• Occasional arrangements for personal diary
• Conference call organising
• Providing support for the office in general and the running of the office
• Lettings paperwork when needed
• Providing support for the property management division and marketing department where necessary
• Good people management skills – to provide a support to the CEO in every aspect of their role

Knowledge Sought

• Office Administrative / secretary experience
• Good working knowledge of MS packages( Word, Powerpoint, Excel, Access) at Intermediate level at a minimum – Essential
• Experienced handling of executives, senior executives, VIP’s, personalities, celebrities, persons of social standing. – Highly Desirable
• In-depth understanding of requirements involved in the lifestyle management of affluent, high-net worth individuals highly desirable
• Excellent use and application of Microsoft Outlook, especially Calendar – Essential
• Property experience is desired but not essential
