Office Manager/AML Executive

Harrods Estates, the luxury property division of the Harrods Group, is currently looking to employ an Office Manager / AML Executive at our Knightsbridge office.

This is an excellent opportunity to join a dynamic team, the candidate will provide indispensable support through proactive management, effective scheduling and by being attentive to detail.

Position Purpose

The Office Manager / AML Executive role at Harrods Estates is an interesting multi-tasking role supporting senior management and will be responsible for supporting the MLRO and the business in implementation of the companies AML policies and procedures.

Principal Accountabilities

AML Responsibilities

▪ Obtain required KYC documentation
▪ Carry out a risk assessment and verify documents
▪ Work closely with the MLRO and Harrods security department
▪ Ensure KYC is completed in accordance with HMRC and The Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017 and Harrods Estates compliance rules
▪ Review and approve the completeness of KYC files after review process
▪ Training of staff in Anti-Money Laundering
▪ Provide conclusion on high risk and PEP cases
▪ Review new sanctions, alerts and monitor high risk cases

Office Manager Responsibilities

▪ Managing invoices, authorising payments and completing corporate expenses through Webnow
▪ Managing holiday diary for all Harrods Estates staff
▪ Assist with payroll queries, some HR queries, new staff set-up and leavers
▪ Responsible for Harrods Estates two company cars
▪ Manage the processing of payroll and holiday requests relating to direct reports of line manager
▪ Process expenses within Company guidelines / timeframes
▪ Answering the phone, taking messages, daily post (internal & external)
▪ Ensure stationery/printer supplies are maintained and replenished
▪ Housekeeping – Ensuring the office is organised and tidy at all times
▪ Diary scheduling
▪ Assisting with Harrods Estates events & promotions
▪ Support to Senior Management
▪ Generating letters and property lists
▪ Assisting with mailouts and canvassing
▪ Take customer info / requirements in absence of sales / lettings team
▪ Sales admin support: sales letters, documents
▪ Upload property details and Maintaining property/client database on Reapit
▪ Arranging photography, floorplans, EPC’s and compiling brochures
▪ Other PA duties

Other

– Excellent verbal and written communication skills
– Able to prioritise & work under pressure
– Proficient in use of Word, Excel & Outlook, Reapit is a plus (training will be provided)
– Ability to work as a team and independently when required
– Working knowledge of the UK Anti Money Laundering Regulations, experience in a HMRC regulated firm for the purpose of Money Laundering Regulations would be beneficial.
